§1. Introduction

1.1 The Mute Sp. z o.o., (referred to in this Privacy Notice as “we“, “our” or “us“) respects your right to privacy, and is committed to protecting the information we hold about you. In this Privacy notice we explain who we are and how we collect and use your information through your use of our website (mute.design) and our app (www.app.mute.design), including where we use your information to contact you with information we think may be of interest to you. It also explains what rights and choices you have regarding your information, and how you can exercise those rights and choices.

§2. Who we are and what we do?

2.1 Mute Sp. z o.o. produces and offers acoustic solutions for commercial spaces. Our office is registered at Kielecka 23, 02-550 Warsaw, Poland, under the number PL5213723357 at the District Court for the city of Warsaw, 12th Commercial Dep. of the National Register Courthouse under the number KRS: 0000989618, NIP: 5213723357, REGON: 363753528.

§3. When do we collect your information?

3.1 There are various ways we collect data about you. The ways are as follows:
3.1.1 The Directly:
When you contact us via Contact form
When you contact us via Showroom location form
When you contact us via Ask for a virtual demo form
When you submit to our newsletter
When you send an offer query from our Configurator (www.mute.design/configurator)
When you register to our App at app.mute.design
When you register to attend our events or events where we meet you.
3.1.2 Automatically:
When you use our website, we automatically collect Technical Data about you. Please note that generally, such Technical Data is anonymised, which means that we cannot identify you as an individual from the Technical Data alone.
3.1.2 Other sources:
We may also collect or receive information from partner organisations who help us to run our events/webinars, organisers of events we sponsor, or social networks (if you interact with our profile).

§4. What information do we collect?

4.1 Contact data such as name, surname, email address, telephone number, professional title, the company you work for.
4.2 Query data: information you submit to us when sending us a comment or query.
4.3 Technical data: an IP address, device type, unique device identification numbers, your browser-type, broad geographic location (country or city-level location), mobile device category (whether you use a phone or a tablet) operating system and other technical information.
4.4 Marketing Preferences Data: information if you opted in for receiving marketing communication from us.

§5. How we use your information and the legal basis for processing it?

5.1 We use your information according to the General Data Protection Regulation (GDPR), which is the law created by the European Parliament and Council (EU) 2016/679 dated April 27th, 2016, regarding the protection of natural persons under the processing of personal data b) according to our Privacy notice.
5.2 We may use your information for the purpose of
5.2.1.providing you with information you have asked for in Contact form, Showroom location form, Virtual demo form, offer query and with marketing communication in case you opted in.
5.2.2 providing you with access to our app (www.app.mute.design)
5.2.3 registering you to our events
5.2.4 keeping our website updated and relevant by looking at what areas of the website you may have found most interesting.

§6. Who do we share your information with?

6.1 We may share your information with third-party services providers for certain business purposes:
6.1.1 Website hosting
6.1.2 Google Analytics, Meta, Hotjar – We use this third party to understand the usage of our Website
6.1.3 Mailchimp – We use these third parties to store your information for the purposes of marketing communication.
6.2 We may also need to share your personal data or other data with the authorized organizations that by law have the right to view them (police for example).

 

§7. How do we keep your information secure?

7.1 We ensure personal information is handled according to the restrictions of the law and their storage takes place on secured servers.
7.2 We use the Secure Sockets Layer (SSL) protocol.
7.3 We have put pseudonymization, data encryption and access control in place to minimize the impact of a possible security breach.
7.4 We provide data protection training to our staff;
7.5 We restrict access to your information to the authorized personnel or outside personnel that we closely cooperate with.

§8. Your data protection and privacy rights.

8.1 You have the right to access the personal data we hold. You have also the right to correct, limit the right for processing or withdraw consent at any time. Also, the right to objection and the right to litigation in front of a supervisory authority. 8.2 We reserve the right to process your data after the contract dissolution of the consent withdrawal only in the field of pursuing the potential claims before the court or if the local, European or international law obligates us to data retention.

§9. Cookies

9.1 What are cookies?
Cookies are 16 text files sent by a web server and stored by computer or mobile device browser software. When the browser reconnects to the site, the site recognizes the type of device used by the user for connecting. Parameters allow the reading of the information contained in the cookies only to the server that created them. Therefore, cookies make it easier to use previously-visited sites.
The information collected relates to the IP address, the type of browser used, language, operating system type, internet service provider, information about the time and date, location, and information sent to the site via a contact form. The expiration time for cookies varies from duration of a browser session, up to two years for analytics.
9.2 Why do we use cookies?
Cookies are used to monitor and determine how users use our websites, to improve the functioning of the service in order to ensure more efficient and seamless navigation. Monitoring of information about users is performed with the use of the Google Analytics tool that registers user behavior on a site.
Cookies identify the user, allowing them to adjust the content of the website to the user’s needs. Remembering user preferences allows for the proper fit of displayed advertisements.
On our site we use the following types of cookies:
a) “essential” cookies which allow the use of services available on the website, such as authentication cookies used for services that require authentication to our app (at www.app.mute.design)
b) cookies used to ensure safety, such as the ones used for detection of fraud in authentication through the website
c) “performance” cookies for collecting information about the use of the website
d) “functional” cookies for “saving” user-selected settings and customizing the user interface, as regards (for example) language or region of origin of the user, a font size, website appearance, etc.
e) “advertising” cookies that provide users with advertising content more tailored to their interests
The data are stored and processed in accordance with Polish law. We respect the privacy of our users, therefore the stored data are confidential and not shared with third parties. Their security is a high priority for us, that is why they are collected on safe and protected servers.
Cookies can not access data on a user’s disk, nor are they able to establish a user’s identity. Also, they do not track user’s activities after leaving our site.
9.3 How I can control cookies?
Users can at any time disable or enable the option of cookie collection by modifying the settings in their browser. Instructions for cookie management are available at: http://www.allaboutcookies.org. You can also directly manage your cookie preferences on our website via the consent banner that appears when you first visit our site. This banner allows you to choose which types of cookies you consent to us using.

Additional personal information, such as e-mail address, is collected only in places where the user expressly consents while completing a form. These data are stored and used by us only for purposes necessary to perform a particular function.
